This Account Deletion Policy explains how users of Robust365 can request deletion of their account and what happens to data associated with our cloud accounting and billing platform.
Important: Account deletion requests are processed manually by our team. Submitting a request does not immediately remove your account or all associated records.
1. How to Request Account Deletion
To request deletion of your Robust365 account, contact us using one of the following methods:

Please include the following in your request:
- Full name registered on the account
- Email address used to sign in
- Company or organization name (if applicable)
- Confirmation that you want permanent account deletion
For security, we may ask you to verify your identity before processing the request.
2. Manual Processing
Robust365 does not offer instant self-service account deletion from within the application at this time. All deletion requests are reviewed and executed manually by our support team to ensure:
- The request is legitimate and authorized by the account owner
- Linked organizations, users, and billing relationships are handled correctly
- Legal and compliance obligations are respected
3. Processing Time
We aim to complete account deletion requests within 7–14 business days after we receive your verified request and confirm all required information.
Complex accounts (multiple users, active subscriptions, or large data volumes) may require additional time. We will notify you if an extension is necessary.
4. What Gets Deleted
Upon approval and completion of your deletion request, we will delete or anonymize, where appropriate:
- Your user profile and login credentials
- Access to the Robust365 application for your account
- Personal contact details associated solely with your user account
- Non-essential preferences and settings linked to your profile
5. Data We May Retain
Even after account deletion, certain information may be retained for legal, regulatory, tax, accounting, or fraud-prevention purposes, including but not limited to:
- Invoices, bills, payment records, and transaction history
- Accounting entries, audit trails, and financial reports required for compliance
- Records related to disputes, chargebacks, or lawful investigations
- Backup copies retained for a limited period as part of disaster recovery (then securely deleted)
- Aggregated or anonymized data that cannot identify you
Retained data is kept only for as long as necessary to meet legal obligations or legitimate business needs, after which it is securely deleted or anonymized.
6. Subscriptions and Billing
If you have an active paid subscription, please cancel or resolve billing before requesting deletion. Account deletion does not automatically issue refunds for unused subscription periods unless required by applicable law or our billing terms.
7. Organization and Multi-User Accounts
If your account is part of a company or organization workspace, deletion of your individual user profile may not delete the entire organization’s accounting data. Organization owners should contact us to discuss full workspace closure if required.
8. Mobile Applications
Deleting the Robust365 mobile app from your device does not delete your cloud account or data. You must submit a deletion request using the contact method above.
9. After Deletion
Once deletion is complete, you will no longer be able to sign in or recover deleted account access. If you wish to use Robust365 again in the future, you may need to register a new account.
